JADEX HEALTH HUB POLICIES

Terms, Privacy & Policies

This page contains important information about using JaDex Health Hub, booking and receiving our services, how we handle your personal information and how we operate our website.

Last updated: October 2026

TERMS & CONDITIONS

About these terms

These terms apply to appointments and services provided by JaDex Health Hub, including services provided under associated JaDex brands.

In these terms, references to “JaDex”, “JaDex Health Hub”, “we”, “us” or “our” mean JaDex Health Hub unless otherwise stated.

By booking an appointment or service with us, you agree to the applicable booking, cancellation and payment terms below.

Appointments & arriving for treatment

Please arrive on time for your appointment.

If you arrive late, we will usually still need to finish your appointment at the originally scheduled time so that subsequent appointments are not affected. The full appointment fee may still apply.

Where additional time is available and both you and your practitioner agree to extend the appointment, an additional charge may apply. This will be discussed with you before the additional service is provided.

Consent to assessment & treatment

Booking an appointment indicates your agreement to these booking terms and your intention to attend for assessment or the service booked. It does not constitute blanket consent to clinical treatment.

Before assessment or treatment is undertaken, your practitioner will explain what is proposed and obtain appropriate consent.

Consent is an ongoing process. You are encouraged to ask questions and may decline a particular treatment or withdraw your consent at any time.

Written consent may be obtained where appropriate, particularly for certain procedures such as injection therapy.

Treatment, advice & outcomes

JaDex aims to provide all services with appropriate professional care and skill.

Healthcare and rehabilitation outcomes vary between individuals. No particular treatment result, recovery time or outcome can be guaranteed.

Following assessment, your practitioner will discuss their findings and appropriate options with you. Treatment and rehabilitation plans may change as your condition, symptoms, goals or circumstances change.

Following assessment, we may determine that a particular treatment or service is not clinically appropriate. Where appropriate, we will discuss alternatives or recommend onward referral.

You are responsible for deciding whether to follow advice, rehabilitation programmes and recommendations provided to you. Please tell your practitioner if you are unable to follow a programme, experience unexpected symptoms or have concerns about your treatment.

Nothing within these terms affects your statutory rights.

Injection Medicine

Booking an assessment or appointment relating to injection medicine does not guarantee that an injection will be clinically appropriate or provided.

Suitability will be determined following appropriate clinical assessment and consideration of relevant medical information, risks, benefits, alternatives and contraindications.

Where injection treatment is appropriate, the proposed procedure will be discussed with you and appropriate consent obtained.

Some injection pathways may require separate appointments. Steroid injection treatment may require an initial assessment followed by the arrangement of a private prescription and a subsequent appointment for the injection.

Where medication must be obtained separately from a pharmacy, pharmacy or prescription charges may be payable in addition to JaDex fees.

If injection therapy is not considered appropriate, alternative treatment, rehabilitation or onward referral may be discussed.

Referrals, investigations & third-party services

Where appropriate, your practitioner may recommend further investigation, imaging, medical review or treatment from another healthcare professional or organisation.

With an appropriate lawful basis, relevant information may be shared where necessary to facilitate your care or referral.

Unless specifically agreed otherwise, it remains your responsibility to arrange and attend appointments with external providers following referral.

Third-party providers operate independently and may have their own terms, fees and privacy arrangements. JaDex is not responsible for services independently provided by another organisation or practitioner.

Charges may apply for certain reports, letters or administrative referrals. Where possible, you will be informed of any charge before the work is undertaken.

Chaperones, companions & young people

We want everyone attending JaDex to feel comfortable and safe.

You may ask to have a chaperone present or bring an appropriate person with you to your appointment. Where possible, please let us know before attending.

As a small independent healthcare provider, we may not always have an additional member of staff available to act as a chaperone. Where a chaperone is required and cannot appropriately be provided, the appointment or relevant part of an examination may need to be rearranged.

We ask that patients under 18 attend with a parent, guardian or appropriate responsible adult unless alternative arrangements have been agreed with the treating practitioner.

Clinical consent and capacity will be considered appropriately for each individual patient.

Behaviour, safety & ending treatment

Patients, visitors, staff and practitioners are entitled to be treated with dignity and respect.

JaDex reserves the right to stop an appointment, decline a particular treatment or discontinue future services where reasonably necessary. This may include circumstances involving abusive, threatening, discriminatory or inappropriate behaviour; significant safety concerns; failure to follow reasonable instructions necessary for safe treatment; an actual or potential conflict of interest; breakdown of the therapeutic relationship; or circumstances where continuing treatment is no longer clinically appropriate.

Where practicable, we will explain the reason and provide reasonable notice.

Where advance payment has been made for services that JaDex subsequently decides it cannot provide, the unused amount will normally be refunded, subject to services already provided and any other applicable terms.

Cancellation & non-attendance

Appointment times are reserved specifically for you. Late cancellations and missed appointments can prevent another patient from accessing that appointment.

Unless different terms were clearly stated when booking:

More than 48 hours' notice: No cancellation charge.

Between 24 and 48 hours' notice: 50% of the appointment fee may be charged.

Less than 24 hours' notice: The full appointment fee may be charged.

Failure to attend: The full appointment fee may be charged.

Where a cancelled appointment can be filled by another client, we may waive the cancellation charge.

We understand that exceptional circumstances occur. Any decision to waive a cancellation fee remains at the discretion of JaDex.

If JaDex needs to cancel your appointment, you will not be charged for the cancelled service and we will endeavour to offer an alternative appointment.

Different cancellation arrangements may apply to classes, courses, events, packages, Corporate Health services or specifically commissioned services. Any different terms will be communicated when booking or purchasing.

Fees & payment

The price applicable to your appointment or service will normally be the price displayed or communicated at the time of booking.

Payment is normally due at the time the service is provided unless another arrangement has been agreed in advance.

JaDex may accept payment from an insurer, employer, solicitor or other third-party funder where this has been agreed.

Where a third party has agreed to fund treatment, you are responsible for ensuring appropriate authorisation is in place. Unless JaDex has expressly agreed otherwise with the funding organisation, you may remain responsible for charges that the third party refuses or fails to pay.

If you intend to reclaim treatment costs from an insurer yourself, it is your responsibility to confirm that your policy covers the service and practitioner concerned. A receipt can be provided following payment.

Additional services such as reports, letters, extensive administrative work or specifically commissioned work may incur an additional fee. Any significant charge will normally be agreed before the work is undertaken.

Packages, prepaid services & classes

Where services, classes or programmes are purchased in advance, any additional terms applying to that particular package will be provided when you book or purchase it.

Purchasing a package does not guarantee a particular clinical or performance outcome.

Specific cancellation, refund or transfer arrangements may apply to classes, courses, events and prepaid programmes and will be communicated where applicable.

Medical records & access to information

JaDex maintains appropriate records relating to assessment, treatment and services provided.

You have the right to request access to personal information that we hold about you.

We may ask for information reasonably necessary to verify your identity before releasing sensitive information. Where another individual or organisation requests information on your behalf, we may require appropriate evidence that they are authorised to receive it.

Subject access requests are normally provided without charge and handled within the timescales required by data protection law.

Information may sometimes need to be withheld or redacted where required or permitted by law, including where disclosure could adversely affect the rights of another person.

Further information about how JaDex collects, stores, uses and protects personal information is contained in our Privacy Policy.

Complaints & feedback

We want patients and clients to feel comfortable raising concerns about their experience with JaDex.

If you are unhappy with any aspect of your care or the service you have received, please contact us as soon as possible so that we have an opportunity to investigate and respond.

Email: complaints@jadexhealthhub.co.uk
Telephone: 07495570627

We aim to acknowledge complaints promptly and provide a response within a reasonable timeframe. Where more time is required to investigate a matter properly, we will keep you informed.

Where appropriate, we can also provide information about relevant external professional, regulatory or complaints routes.

Changes to these terms

We may update these terms from time to time to reflect changes to our services, professional guidance, business arrangements or applicable law.

The current version will be published on our website together with the date it was last updated.

We may obtain information directly from you when you contact us, complete a website form, join a mailing or launch list, book or attend an appointment, provide information to a practitioner, use one of our services, attend a class or programme, make a payment, provide feedback or otherwise communicate with us.

Where appropriate, information may also be received from another source, including another healthcare professional, GP, hospital, insurer, employer, solicitor, authorised representative, parent or guardian, referring organisation or another organisation involved in your care.

Lawful bases for processing

Depending upon the circumstances, we may process personal information because it is necessary to perform a contract or take steps at your request before entering into a contract; to comply with a legal obligation; for our legitimate interests or those of another party where these are not overridden by your rights; or because you have provided consent.

Different lawful bases may apply to different uses of your information.

Where we process special-category health information, we will also rely on an appropriate condition permitted by data protection law, which may include processing necessary for the provision or management of healthcare by or under the responsibility of an appropriate healthcare professional.

Sharing your information

We do not sell your personal or medical information.

Where necessary and supported by an appropriate lawful basis, information may be shared with organisations or individuals such as healthcare professionals involved in your care, GPs, hospitals, diagnostic or imaging providers, pharmacies or prescribing services, insurers, funding organisations, solicitors or authorised representatives, referring organisations, professional advisers, regulators and authorities.

We only share information appropriate to the relevant purpose.

JaDex uses Cliniko to support practice management, appointments and clinical records.

Personal and health information entered during booking or collected as part of your care may therefore be processed using Cliniko.

Where consent is required for electronic marketing, we will obtain it. Providing marketing consent is optional and does not affect your ability to access healthcare or other JaDex services.

You can unsubscribe from marketing communications at any time using the unsubscribe option provided in our emails or by contacting us.

Opting out of marketing does not prevent us from contacting you where necessary regarding appointments, treatment, payments, enquiries or other services you are receiving.

Photographs, video, testimonials & social media

We will not use identifiable patient photographs, videos, testimonials or clinical information for public marketing simply because you have received services from JaDex.

Where identifiable material is intended for promotional or marketing use, appropriate permission will be obtained.

Where our use relies on your consent, you may withdraw that consent for future use.

How long we keep information

Marketing information will normally be retained while you remain subscribed or until it is no longer required for the purpose for which it was collected. Enquiry information will be retained only for as long as reasonably necessary to respond to and manage the enquiry, subject to any legal, clinical or business record-keeping requirements that may subsequently apply.

We take reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.

Measures may include appropriate electronic systems, access controls, passwords, secure practice-management systems and procedures for handling confidential information.

International transfers

Some technology and service providers used by JaDex may process information outside the United Kingdom.

Where personal information is transferred internationally, appropriate measures will be used where required to ensure the transfer complies with applicable UK data protection requirements.

We will handle this information in accordance with applicable data protection requirements and take account of the young person's age, understanding and circumstances.

Automated decision-making

JaDex does not currently make decisions about patients or clients based solely on automated processing that produce legal or similarly significant effects.

If you have concerns about how your personal information has been handled, please contact JaDex in the first instance so that we can investigate.
